Optimum assists an engineering and construction firm in assessing and documenting business processes and requirements to evaluate and select the right ERP solution, enhancing efficiency and reporting accuracy.
About the Client
An engineering and construction firm.
Business Challenges
The client relied on various disparate systems and spreadsheets to manage projects, clients, invoicing, finances, and contractors. Data entry and aggregation were mostly manual or done using Excel files, leading to inaccuracies and delays in data transition between systems.
This decentralized approach resulted in reduced efficiency and a lack of timely and accurate project and financial reporting.
Optimum’s Involvement
Optimum conducted a comprehensive assessment and documentation of the client’s current business processes, systems, and data in preparation for implementing a new Enterprise Resource Planning (ERP) solution. This included an evaluation phase to define user and system requirements, analyze potential ERP solutions, and facilitate the successful solicitation and selection of the new ERP system and vendor.
Key activities included:
Assessment and Current-State Analysis:
- Optimum assembled a team of experts, including a process engineer, ERP solution architect, and business analyst.
- Conducted an in-depth assessment of the current state, developing requirements and scope for the new ERP.
- Performed a cost-benefit analysis to compare commercially available ERP systems with the potential of building a custom in-house solution.
ERP Solution and Vendor Evaluation:
- Defined the requirements and scope for the new ERP solution, considering necessary integrations with other business systems.
- Determined that a commercially available ERP solution was the best fit for the client’s needs, budget, and timeline.
- Conducted market research and developed a comprehensive solicitation/RFP package, including scope, requirements matrix, evaluation criteria, and pricing proposal sheet.
- Engaged in the evaluation process by organizing vendor demos, assessing vendor responses, and assisting in the selection of the final ERP solution and vendor.
Project Outcomes and Benefits
Upon completing the assessment and vendor selection project, the client’s current and future business processes, systems, and data requirements were fully defined and documented. The selected ERP solution, Sage Intacct, will provide robust management, aggregation, and reporting capabilities for projects, assets, resources, contractors, and financials.
This new ERP platform is expected to enhance efficiency, streamline data management, and improve the accuracy and timeliness of project and financial reporting.
By partnering with Optimum, the client is now equipped with a state-of-the-art ERP system tailored to their specific business needs, setting the stage for improved productivity and operational success.
