The client faced inconsistent project management maturity across departments, with undefined and inconsistently used standards, processes, and templates. Additionally, portfolio management processes and standards were lacking, and best practices for demand management were not fully utilized.
There was no robust, enterprise-level portfolio and project management (PPM) software implemented across all teams.
Optimum’s Involvement
Optimum was engaged to conduct a comprehensive current state analysis and portfolio/project maturity assessment across all departments. The goal was to develop a 5-year Capability and Maturity Roadmap and Action Plan to achieve the organization’s portfolio and project management objectives and strategic plans. Additionally, Optimum was tasked with defining and documenting the requirements for an enterprise-level Portfolio and Project Management Tool, including related templates, automated workflows, and reporting dashboards.

- Provided recommendations for improved demand management, portfolio-level visibility and reporting, and annual project selection and budget reviews.
PPM System Requirements:
- Defined requirements for selecting a robust and enterprise-level Portfolio and Project Management Information System.
